Terms and Conditions

The party leader must be at least 18 years of age. To make the booking, you must be authorized by all persons on your holiday confirmation, including those guests added at a later date.

All correspondence and documents are sent to the party leader who is responsible for all payments on the booking. Leaders must ensure that party members are kept informed of booking details or any cancellation charges.

On receipt of your deposit, we will send your villa confirmation.

Please check the confirmation and any other documents carefully on receipt. You must notify us as soon as possible if any details
are incorrect.

A contract between Sun Palm Villas and you, the client, will come into effect when you have paid a deposit (full payment within 8 weeks of arrival) and we have dispatched our confirmation invoice.

Payment

A deposit of $300 is payable immediately.

If you book within six weeks of arrival, the full amount is due at the time of booking. Your deposit is non-refundable in the event of cancellation.

The balance of your holiday cost is due no less than six weeks prior to arrival, as shown on the confirmation invoice.

If all payments are not made by the due date, we reserve the right to treat your holiday as canceled and a charge of up to 100% of the final invoice total may be levied.

A 3.5% convenience charge applies to payments made
via credit cards.

Security Deposit

A $300 refundable deposit must be paid prior to arrival and will be refunded in full no more than 1 week after your departure date, provided no damage is caused to the property or owner’s belongings. All damages must be reported and paid for prior to vacating the premises. Failure to report any damages will result in the loss of all or part of the deposit.

Holiday Surcharges

We reserve the right to increase or decrease the prices of villas advertised at any time. The cost of your chosen villa will be confirmed at the time of booking. Once your reservation has been confirmed, any future increases in costs will not be applied to your booking.

Should you amend the booking after it has been confirmed, we reserve the right to increase the costs to those currently advertised.

Your Holiday Villa

This is reserved solely for the persons named on the confirmation invoice. Local communities expect certain standards of behavior. You and your party are expected to observe community rules.

You must vacate your villa by 10:00 AM on the morning of departure so that the home can be cleaned prior to the arrival of new guests. On arrival, your villa will be available from 4:00 PM onwards.

The villa will be checked immediately after the guest’s departure.

Should any breakages or damages occur during your stay, you must notify the management company immediately. Should the cost of repair or replacement be your responsibility, the management company will advise you to expect the costs to be settled during
your stay.

If damages are found after your departure, the costs incurred for replacement or repair will be charged to your credit card.

On your arrival, it is in your party's best interest to check your villa. If any damages or breakages are found, please contact the management company immediately. After occupying the villa for 48 hours, the above will be void and you will be liable.

No-Smoking Homes

The properties that we manage all have strict no-smoking policies. If any damages are found or extra cleaning is required for fabrics, carpets, furniture, etc. because of burns or smoke, the cost of cleaning or repairing these items will be deducted from your security deposit. If the smoke alarms are activated by smoking inside the home, the fire department will be alerted automatically and the call-out charge will be the guest’s responsibility.

Cancellations

If you wish to cancel your holiday, you must notify us in writing. Cancellation will become effective from the date it is received at our office. A cancellation notice will be issued by return.

In the event of cancellation by the guest, the following charges will apply. Please ensure that you have adequate insurance coverage for this eventuality.

Four Weeks or Less Prior to Arrival 100% of Total Rental Price

Parental Supervision

Parents must supervise children at all times, particularly in the pool area and when accessing the villa in an uncarpeted area. Glassware at the poolside is prohibited. It is an unseen danger to you and to others. No responsibility or liability will be accepted for any accident, injury, or damage sustained during tenancy regardless of how it may have occurred.

Change or Cancellation of Your Booking

Occasionally, we may have to correct errors in our website or make changes to other details before and after bookings have been confirmed. We may also have to cancel confirmed bookings. While we always try to avoid changes and cancellations, we reserve the right to do so.

Most changes are minor, although we may occasionally have to make a major change.

If we have to make a major change to your booking, we will tell you as soon as possible and you will then have the following options:

  • Accept the changed arrangements as offered by us.
  • Accept a replacement villa that is equivalent or closely similar in standard and price if one is available.
  • Cancel your booking, in which case you will receive a quick and full refund of all monies you have paid to us.

You must tell us which option you wish to take within seven days of our offer of alternative accommodations. If you have not contacted our office after seven days, we will book a replacement for you.

Complaints

Should there be any cause for complaint in our homes, Sun Palm Villas must be notified immediately.

No complaints will be entertained after guests return to their
home residence.

Pets

While we at Sun Palm Villas are animal lovers, we must stress that our homes are pet-free.

Liability

Neither the owners nor Sun Palm Villas accepts responsibility for personal injury, accidents, death, loss, or damage to personal belongings. All equipment and swimming pools are used at the guest’s risk. Children should be supervised at all times. Additionally, it is advised that guests do not enter the home with wet costumes as chlorine will damage carpets and furnishings.

Holiday Participation

If, in the opinion of any person in authority, you appear to be unfit or likely to cause disturbance or damage to the rental villa, we reserve the right to terminate your holiday arrangements with us.

We will not be liable to make alternative arrangements for accommodations, cover any costs you incur, or make any refunds.

Force Majeure

We cannot and do not accept responsibility for any cancellation, alteration, or amendment of your booking brought about by:

  • Strikes
  • Riots
  • Political Unrest
  • War or Threats of War
  • Hostilities
  • Terrorist Activities
  • Industrial Disputes
  • Fires
  • Floods
  • Hurricanes
  • Technical or Weather Problems to Transport
  • Aircraft Grounding
  • Closure of Airports or Ports
  • Weather Conditions
  • Other Events Beyond Our Control

Acceptance of Terms and Conditions
